Project management and work coordination overlap, but they answer different questions. Project management asks how planned work will be organized and delivered. Work coordination asks what is happening across the operating environment and what needs to happen next.
Project-management systems are strong at structuring initiatives, dependencies, assignments, milestones, portfolios and reporting. They create a deliberate model of the work to be completed.
Coordination becomes important when communications, customers, schedules, requests, files and decisions repeatedly change priorities or create work that a project system cannot understand without manual translation.
The categories are not mutually exclusive. A coordination system can treat a project-management platform as one source of operating context while helping connect the work to activity in other systems.
Sometimes, but not always. Teams with sophisticated project planning needs may keep a dedicated project-management system while using work coordination to connect that work with the rest of the business.
Because many important changes originate outside the project record. If customer conversations, calendars, service activity and other systems continually change the work, someone still has to reconcile those signals manually.
Choose based on the dominant problem. If the problem is planning and tracking defined projects, project management may be enough. If the problem is lost context and follow-up across tools, work coordination may address the more fundamental issue.
